A chief of staff handles the coordination, research, communication, and operational management that sits between the CEO’s strategic work and the team’s execution layer. In a large organization, this is a full-time senior role. For a solo expat founder, it has historically been a function that simply did not exist — or that the founder performed themselves, consuming hours that should have been spent on strategy and client work.

What an AI Chief of Staff Actually Does
The AI chief of staff covers five functions. Each one removes a specific type of cognitive overhead from the founder’s day.
Function 1: Morning Briefing
Every morning the AI chief of staff delivers a structured briefing covering what happened overnight, what requires attention today, and what decisions need to be made. This briefing is assembled automatically from multiple sources: email summaries, task management updates, calendar review, and any triggered alerts from monitoring systems.
Setup: A Make workflow runs at 6am Philippine Standard Time pulling data from Gmail (via summary), Notion (task status changes and upcoming deadlines), Google Calendar (today’s schedule), and Slack (flagged messages from the previous day). Claude synthesizes this into a structured morning brief posted to a dedicated Notion page. You read the brief instead of spending 30 minutes checking multiple apps.
Function 2: Research on Demand
When you need information quickly — a competitor’s pricing, a market size estimate, background on a potential client, the current status of a regulation — the AI chief of staff handles the research and returns a structured summary rather than a list of links to read.
Setup: A dedicated research prompt that you can invoke at any time using a simple trigger (a specific Slack message, a voice note, or a form submission). The prompt sends the research request to Perplexity API, synthesizes the results using Claude, and returns a structured brief within 5 minutes.
Function 3: Communication Drafting
Every business generates a significant volume of routine communication — client updates, follow-up emails, proposal responses, partner outreach. The AI chief of staff drafts these from brief inputs rather than requiring the founder to write them from scratch.
Setup: A communication request prompt that takes a brief description of the communication needed (who it is to, what it needs to say, what tone is appropriate) and returns a complete draft ready for review and sending. The draft takes 2 minutes to generate and 3 to 5 minutes to review and personalize — far less than writing from scratch.
Function 4: Meeting Preparation
Before any significant meeting, the AI chief of staff assembles a preparation brief covering background on the person or company, relevant context from your history with them, key points to address, and suggested questions to ask.
